The Carriage House Car Wash ("we," "us," or "our") operates a 24/7 automatic car wash located at 30 Homestake Drive, Bozeman, MT 59718. This Privacy Policy explains what personal information we collect, how we use it, and your rights regarding that information. We keep things straightforward because we believe your privacy matters.
1. Information We Collect
We collect different types of information depending on how you interact with us:
Loyalty Rewards Program
- Phone number (required to enroll)
- Name (optional)
- Email address (optional)
- Birthday (optional — used for annual birthday reward)
- Referral code usage (if you were referred by another member)
- GPS location data during check-in (required to verify you are at our location)
- Wash history, reward progress, and streak data
Fleet Accounts
- Business name and address
- Contact person name, phone number, and email
- Federal tax ID (EIN)
- Electronic signature on the fleet application
Prepaid Card Purchases
- Name and email address
- Payment information (processed securely by Stripe; we do not store card numbers)
Contact Form
- Name, phone number, email, and message content
2. How We Use Your Information
We use the information we collect to:
- Operate and manage our loyalty rewards program
- Process prepaid card purchases and send receipts
- Manage fleet accounts and send invoices
- Respond to customer inquiries
- Send transactional messages (e.g., reward notifications, receipts)
- Verify your physical presence at our location during loyalty check-in
- Improve our services
We do not sell, rent, loan, or share your personal information — including mobile phone numbers — with third parties for their marketing or promotional purposes. Ever.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
3. Location Data
Our loyalty rewards program uses GPS location data from your device to verify that you are physically at our car wash during check-in. This geofence verification prevents abuse of the rewards program.
- Location data is only collected when you actively tap the check-in button
- We do not track your location in the background
- Check-in location coordinates are stored in our database alongside your wash record and retained for the lifetime of your account
- You can decline location access, but check-in will not be available without it
4. SMS Messaging
If you enroll in our loyalty program and consent to SMS, you may receive recurring automated text messages from The Carriage House Car Wash at the phone number you provided, including reward notifications, check-in confirmations, expiration warnings, birthday rewards, and promotional offers (such as double-point weather events).
- Consent: SMS messaging is optional. Consent to receive text messages is not required as a condition of purchasing any goods or services. You may use all features of the loyalty program without opting in to SMS by declining the SMS consent checkbox during signup.
- Frequency: Message frequency varies; approximately 1–6 messages per month depending on your account activity and active promotions.
- Costs: Message and data rates may apply. Check with your wireless carrier for details about your text messaging plan.
- Opt-out: Reply STOP to any message to unsubscribe from all SMS messages at any time. You will receive a one-time confirmation. Additional opt-out keywords: UNSUBSCRIBE, CANCEL, QUIT, END.
- Opt-in: Reply START to re-subscribe after opting out. Additional opt-in keywords: SUBSCRIBE, YES, UNSTOP.

- Privacy: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
- Carriers: Supported on all major US carriers. Carriers are not liable for delayed or undelivered messages.

6. Third-Party Service Providers
We use the following third-party services to operate our business. These providers only have access to the information necessary to perform their functions and are obligated to protect your data:

7. Data Storage & Security
Your data is stored in a secure PostgreSQL database hosted by Neon on AWS infrastructure in the United States. We take reasonable measures to protect your information, including:
- All data transmitted between your browser and our servers is encrypted via HTTPS
- Payment information is handled entirely by Stripe and never touches our servers
- Database access is restricted and requires authentication
- Admin access to customer data is protected by API key authentication
No system is 100% secure. While we do our best to protect your data, we cannot guarantee absolute security.
8. Data Retention
We retain your personal information as follows:
- Loyalty accounts: Retained for as long as your account is active. Inactive accounts may be deleted after 24 months of no activity.
- Fleet accounts: Retained for the duration of the business relationship and as required for tax and accounting records.
- Prepaid card records: Retained as needed for transaction records and customer support.
- Contact form submissions: Retained for up to 12 months.
9. Your Rights
Under the Montana Consumer Data Privacy Act and general best practices, you have the right to:
- Know what personal information we have collected about you
- Request a copy of your personal data
- Request deletion of your personal data
- Opt out of SMS messages at any time by replying STOP
- Withdraw from the loyalty program

10. Loyalty Rewards Program Terms
By enrolling in our loyalty rewards program, you agree to the following terms. For full program details, see our Terms of Service.
- Earning rewards: Earn 1 point per qualifying wash (more during promotions). After 8 points, you earn a free premium wash code.
- Bonus points: Additional points may be earned through referrals (2 points per referral), streak bonuses (1 point per 4 consecutive weeks), and promotional events.
- Check-in requirement: You must check in using the website while physically at our car wash. GPS location verification is required.
- One check-in per day: You may check in once per calendar day.
- Reward expiration: Free wash codes expire 90 days after issuance. Birthday wash codes expire 30 days after issuance.
- Point expiration: Points expire after 12 months of account inactivity (no check-ins). We send reminder notifications at 10, 11, and 11.5 months before expiration.
- Non-transferable: Rewards and points are tied to your phone number and cannot be transferred to another account.
- No cash value: Points and rewards have no monetary value and cannot be redeemed for cash.
- Program changes: We reserve the right to modify, suspend, or terminate the loyalty program at any time with at least 30 days notice to enrolled members via SMS and/or email. All program features, promotions, and bonus structures are subject to change.
- Abuse: Attempts to manipulate the program (e.g., spoofing location, creating duplicate accounts, self-referrals) may result in account termination without notice.
11. Children's Privacy
Our services are not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us and we will promptly delete it.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make significant changes, we will update the "Last Updated" date at the top of this page. For loyalty program members, we may also send a notification via SMS.
